KoboToolbox Integration

Bridge the gap between field data collection and programme monitoring. eSuivi connects directly to your KoboToolbox account, automatically syncing survey submissions to your indicators — so dashboards and reports reflect real-world data without manual re-entry.

Seamless API Connection

KoboToolbox is the go-to mobile data collection platform for humanitarian and development organisations worldwide. But getting that data out of Kobo and into your M&E system has traditionally meant downloading CSVs, cleaning them in Excel, and manually entering aggregated figures. That workflow is slow, error-prone, and creates a dangerous lag between what happens in the field and what appears on your dashboard.

eSuivi eliminates that bottleneck with a direct API integration. Enter your KoboToolbox API token, select the forms you want to connect, and eSuivi begins pulling submissions automatically. No CSV exports, no copy-pasting, no data cleaning spreadsheets. The connection is secure, encrypted, and respects KoboToolbox's rate limits to ensure your Kobo account is never disrupted.

  • Connect with a single API token — no technical setup required
  • Works with KoboToolbox, KoBoCAT, and ODK-compatible servers
  • Encrypted data transfer over HTTPS
  • Automatic retry and error handling for unreliable connections
Step 1: Collect in the Field

Enumerators submit surveys via the KoboCollect app on phones or tablets.

Step 2: Auto-Sync to eSuivi

eSuivi pulls new submissions via the API and maps them to your indicators.

Step 3: Dashboards Update

Indicator actuals, charts, and reports reflect the latest field data automatically.

Intelligent Field Mapping

Survey forms and M&E indicators speak different languages. A Kobo form might have a question labelled "How many households received seeds?" while your logframe tracks "Number of beneficiary households supported with agricultural inputs." eSuivi's field mapping interface lets you visually connect Kobo form fields to the corresponding indicators in your framework.

Set up aggregation rules — sum, count, average, or custom formulas — to transform raw survey responses into meaningful indicator values. Apply filters to count only submissions that meet certain criteria, such as responses from a specific district or beneficiary type. Once configured, the mapping runs unattended for the life of the project.

  • Visual drag-and-drop field-to-indicator mapping
  • Aggregation rules: sum, count, average, min, max, custom
  • Conditional filters based on survey response values
  • Support for repeat groups and multi-select questions
Eliminating the Data Gap

In a typical M&E workflow, weeks can pass between a field survey and the numbers appearing in a donor report. Enumerators collect data, someone downloads the CSV, an M&E officer cleans and aggregates it, and finally the figures are entered into the reporting system. With eSuivi's KoboToolbox integration, that timeline collapses to minutes. The moment a survey is submitted from a remote village, the indicator dashboard begins to reflect the new data.

Real-Time Data Flow & Quality Checks

eSuivi does not just move data — it validates it. As submissions arrive, the system runs configurable quality checks: detecting duplicate entries, flagging outlier values that fall outside expected ranges, and identifying incomplete records that may need follow-up. A sync status dashboard shows you exactly how many submissions have been processed, how many are pending, and whether any errors need attention.

View a detailed sync log for every connected form, including timestamps, submission counts, and any mapping errors encountered. If a Kobo form is updated with new questions, eSuivi detects the schema change and notifies you to review the field mappings — preventing silent data loss from unmatched fields.

  • Duplicate detection and outlier flagging
  • Detailed sync logs with per-submission status
  • Schema change detection when Kobo forms are updated
  • Dashboard showing sync health across all connected forms
Built for Field Conditions

Field teams often work in areas with intermittent connectivity. KoboCollect stores submissions offline and uploads them when a connection is available — sometimes in batches of hundreds. eSuivi handles these bursts gracefully, processing large sync batches in the background without slowing down the rest of the platform. Your dashboard stays responsive while thousands of records are being ingested behind the scenes.
